ITSWITCH is an MVP for a startup building a two-sided B2B marketplace designed to streamline how companies procure IT services.

The platform connects businesses with vetted IT providers through a structured process that replaces traditional, manual procurement workflows.

Problem

Procuring IT services is typically slow, inconsistent, and fragmented. Buyers are often required to manually define requirements, create RFP documentation, source relevant providers, and compare responses that vary heavily in structure and detail.

This creates friction on both sides of the marketplace. Buyers may struggle to clearly define what they need, while providers spend time interpreting inconsistent requirements and manually preparing proposals. At a platform level, there is also a need to manage trust, verification, certifications, reviews, and support across multiple user types.

The challenge was to turn this complex, multi-sided workflow into a clear MVP platform that could support Buyers, Providers, and Admins without overwhelming them.

At a platform level, there is also a need to manage trust, verification, certifications, reviews, and support across multiple user types.

The challenge was to turn this complex, multi-sided workflow into a clear MVP platform that could support Buyers, Providers, and Admins without overwhelming them.

The product scope and onboarding approach were influenced by Carwow’s buying journey, where users are guided through a structured flow to define their requirements and receive tailored offers from dealers. Rather than browsing or contacting suppliers manually, users configure their needs step-by-step, after which matched dealers respond with comparable offers based on price, location, and ratings.

This reverse marketplace model - where user input generates demand and suppliers respond in a standardised format - provided a strong reference point for ITSWITCH. It validated the decision to replace manual RFP creation with a guided flow and to structure provider responses for clear comparison.

User Flows

Buyer and Provider user flows were created to map the key paths through the platform before finalising the interface design.

This helped clarify how each user type moves from signup through to matching, offer review, messaging, and deal completion, while also highlighting areas where friction at decision points could occur.

User flows included alternative routes, verification states and hand-off points between buyers, providers and admins.

Wireframes

A selection of wireframes were created for key screens to explore structure, hierarchy, and navigation before moving into high-fidelity design. For more complex pages, such as the individual offer details screen, multiple layout options were explored to identify which direction would work best for the MVP while still allowing the product to scale over time.

These wireframes helped compare different approaches, including simpler tabbed layouts, more dashboard-like structures, and decision-focused layouts with persistent contextual information. The chosen direction balanced clarity, familiarity, and implementation practicality, giving users a straightforward way to review offer details, understand provider context, message the provider, and approve an offer without introducing unnecessary complexity.

Instead of requiring users to write freeform requirements, the experience breaks the process into structured steps using plain language and progressive disclosure for inputs. This reduces friction and decision fatigue, aligning with Hick’s Law, which shows that simplifying choices improves decision speed.

By the end of the flow, a complete RFP is generated automatically. Buyers are then matched with providers and presented with structured offers where pricing, services, and credentials are standardised. This makes comparison significantly easier and more reliable.

The Provider experience focuses on helping Providers manage matched RFPs, respond efficiently, and maintain their company profile.

Providers can view RFP metrics, track statuses such as awaiting response, offer sent, won, and lost, and manage matched RFPs from a central dashboard. When responding to an RFP, the offer builder allows providers to enter pricing, quantities, service terms, and additional information in a consistent format.

This reduces the need to create proposals from scratch and ensures that Buyer-facing offers remain directly comparable. Providers can also manage offered services, pricing, certifications, team seats, reviews, notifications, and support requests, giving them the tools needed to operate on the marketplace over time.

The Provider experience focuses on helping Providers manage matched RFPs, respond efficiently, and maintain their company profile.

Providers can view RFP metrics, track statuses such as awaiting response, offer sent, won, and lost, and manage matched RFPs from a central dashboard. When responding to an RFP, the offer builder allows providers to enter pricing, quantities, service terms, and additional information in a consistent format.

This reduces the need to create proposals from scratch and ensures that Buyer-facing offers remain directly comparable. Providers can also manage offered services, pricing, certifications, team seats, reviews, notifications, and support requests, giving them the tools needed to operate on the marketplace over time.

Provider views include RFP cards & statuses, offer-building screens, messaging and certification upload flows.

Admin Experience

The Admin experience supports the operational side of the marketplace.

Admins can monitor platform activity through a central dashboard, including total Providers, Buyers, deals, subscription breakdowns, and payments. They can also manage user accounts, review authorisation requests, approve Provider accounts, assess certifications, moderate reviews, and track payments.

This creates a controlled operational layer for maintaining trust, quality, and marketplace performance as the platform grows.

The Admin experience supports the operational side of the marketplace.

Admins can monitor platform activity through a central dashboard, including total Providers, Buyers, deals, subscription breakdowns, and payments. They can also manage user accounts, review authorisation requests, approve Provider accounts, assess certifications, moderate reviews, and track payments.

This creates a controlled operational layer for maintaining trust, quality, and marketplace performance as the platform grows.

Admin views show dashboard cards, sortable tables and review modals, which make operational tasks quicker to scan and action.

Result

The result is a fully designed MVP that delivers an end-to-end procurement experience across all user roles. It replaces a traditionally manual and fragmented process with a structured system that is faster, more consistent and easier to use.

As this was an MVP design phase, there was no dedicated user testing or analytics stage within scope. However, the work established the core UX patterns and product structure needed for development and future scalability. Post-launch, success could be measured through RFP completion time, completion rate, provider response rate, time to first response, and buyer/provider feedback.

The product has since launched publicly, over at itswitch.co.uk.
